Why this role exists:
Every growing business ends up with a CRM in one place, a form somewhere else, a spreadsheet someone still updates by hand — and a person quietly copying data between all three. That person's time is the cost; the errors are the risk.
You remove that. You'll connect these systems, keep the data clean on the way through, and make sure the workflows keep running once you've built them.
What you'll do:
- Build the automations — design and maintain multi-step Zapier workflows connecting CRMs, forms, spreadsheets, email, chat, and internal tools. Decide what's worth automating and what genuinely isn't.
- Own the CRM — configure fields, pipelines, stages, and permissions. Keep records clean through deduplication and standards that survive contact with real users. Build the reports that let a team see its pipeline honestly.
- Handle the data — import, clean, map, and migrate between platforms. Reconcile mismatched records and decide which source wins. Fix the root cause when data arrives wrong, not each instance.
- Connect what Zapier can't — build and consume webhooks for real-time triggers, and work directly with REST APIs when native integrations fall short.
- Keep it running — monitor for failures, build in error handling rather than assuming the happy path, and document every workflow so it doesn't depend on you being available.
What you'll need:
Must have:
- Zapier automations built and maintained in a live business environment — multi-step, with filters, paths, and lookups.
- CRM administration experience: HubSpot, Zoho, Salesforce, Pipedrive, GoHighLevel, or similar.
- Advanced spreadsheet skills and confidence with messy, real-world data.
- Webhooks: how to send one, receive one, and debug one that isn't firing.
- REST APIs and JSON — authentication, endpoints, and reading documentation independently.
- Proactive written communication; this role runs on updates nobody had to ask for.
Nice to have:
- Make.com, n8n, or Power Automate alongside Zapier.
- Basic scripting for custom steps (JavaScript or Python).
- SQL, Airtable, or reporting tools (Looker Studio, Power BI).
- Sales or marketing operations experience.
- AI tooling used practically in day-to-day work.
